Booking logic | Reconcile Moss Transactions in Exact Online

This guide explains how Moss transactions are booked in Exact Online, including how to correctly reconcile your wallet and credit repayments to avoid mismatches in your general ledger.


Booking Logic for Moss Card Transactions

For each Moss card transaction, two entries are automatically exported to Exact Online:

1. Purchase Journal Entry (Expense Recognition)

Purpose: Records the cost incurred by the transaction.

  • Debit: Expense Account (e.g., Software, Marketing)

  • Credit: Moss Supplier Account

2. Bank Journal Entry (Payment Recognition)

Purpose: Reflects that the expense was paid from your Moss Balance.

  • Debit: Moss Supplier Account

  • Credit: Moss Balance Account (Exact Bank Account for Moss Wallet)

These two entries cancel each other out in the Moss Supplier Account, leaving only the expense on your P&L and the payment tracked through the Moss wallet.


Booking Logic for Moss Wallet Top-Ups and Credit Repayments

Whenever you top up your Moss wallet or repay your Moss credit line, an additional booking flow is required.

3. Moss Export Entry (Receipt Confirmation)

Purpose: Shows that funds have been received by Moss.

  • Debit: Moss Balance Account

  • Credit: Moss Top-up Supplier Account

This entry is exported by Moss and adds funds to your Moss wallet in Exact Online.

4. Customer Bank Entry (External Payment)

Purpose: Reflects the transfer or direct debit made from your external bank account (e.g. Rabobank).

  • Credit: Client Bank Account

  • Debit: Moss Top-up Supplier Account

This entry is created via your Exact bank feed or entered manually.

You must reconcile it against the journal Moss exported in step 3 to clear the Top-up Supplier Account.


Result After Successful Reconciliation

  • The Moss Supplier Account used for spend transactions should regularly clear to zero if all transactions are exported.

  • The Moss Top-up Supplier Account clears to zero only when your external bank transfer has been matched.

  • The Moss Balance Account represents your available funds and all internal movements (spending, top-ups, credit repayments).


Common issues to watch out for

1. Missing Receipts or unapproved transactions

  • Transactions not exported by Moss (e.g., missing receipt or pending approval) will result in partial journal entries and imbalance.

2. Single account used for both credit and debit

  • Ensure your Moss Wallet and Moss Credit Line use separate Exact accounts to avoid reconciliation confusion.

3. Unreconciled external payments

  • If your external repayment isn’t matched with the Top-up Supplier Account entry from Moss, it appears as a duplicate cash-out.


Tips for Daily Checks

  • Use the Moss CSV export to cross-check daily start and end balances.

  • In Exact, filter by supplier accounts to identify any unreconciled entries.

  • Use Exact’s built-in reconciliation tools to match Moss exports with your bank feed entries.
