Booking logic | Reconcile Moss Transactions in Microsoft Dynamics 365 Business Central

This guide explains how Moss transactions are booked in Microsoft Dynamics 365 Business Central, and how to correctly reconcile card transactions, wallet payments, wallet top-ups, and credit repayments to avoid mismatches in your general ledger.

The booking logic is designed to:

  • Clearly separate expense recognition from payment recognition

  • Keep intermediary clearing accounts at or near zero

  • Ensure the Moss Wallet balance in Business Central matches Moss


Booking Logic for Moss Card Transactions

For each Moss card transaction, two entries are automatically created in Business Central.

1. Purchase Invoice (Expense Recognition)

Purpose

Records the expense incurred by the card transaction.

Posting logic

  • Debit: Expense Account (e.g. Software, Marketing)

  • Credit: Moss Card Clearing / Supplier Account

This entry affects your P&L and represents the economic cost of the transaction.

2. Payment Journal Entry (Settlement via Moss Credit or Wallet)

Purpose

Reflects that the expense was paid using Moss.

Posting logic

  • Debit: Moss Card Clearing / Supplier Account

  • Credit: Moss Wallet or Moss Credit Account

The two entries clear each other on the Moss Card Clearing account, leaving:

  • The expense on your P&L

  • The payment reflected on the Moss Wallet or Credit balance

Note: The entries reconcile automatically only if the Purchase Invoice is posted before the Payment Journal is posted. Only then our extension can copy posted purchase invoice values in the payment line for automatic reconciliation. Otherwise MS BC functions to reconcile outstanding entries on the supplier can be used to match purchase and payment later.


Booking Logic for Moss Wallet Top-Ups and Credit Repayments

Whenever you top up your Moss Wallet or repay your Moss credit line, an additional booking flow is required to reflect the external cash movement. Moss creates a Payment Journal line for this purpose. This can be posted against an in-transit account to reconcile the outgoing bank payment against it.

3. Moss Export Entry (Wallet Funding)

Purpose

Shows that funds were added to the Moss Wallet.

Posting logic

  • Debit: Moss Wallet Account

  • Credit: Moss Top-Up Clearing Account

This entry is automatically created by Moss and increases your Moss Wallet balance in Business Central.

4. External Bank Entry (Customer Bank Payment)

Purpose

Reflects the actual bank transfer or direct debit from your company bank account.

Posting logic

  • Credit: Company Bank Account

  • Debit: Moss Top-Up Clearing Account

This entry is typically created via the Business Central bank feed or entered manually.

You must reconcile this entry against the Moss Export Entry to clear the Moss Top-Up Clearing Account.


Result After Successful Reconciliation

When all transactions are correctly exported and reconciled:

  • The Vendor Accounts used for Moss Payments regularly clears to zero

  • The Moss Top-Up Clearing Account clears to zero once the external bank payment is matched

  • The Moss Wallet Account represents your actual available balance and all internal movements

Common issues to watch out for

1. Missing receipts or unapproved transactions

Transactions that are not approved or lack a receipt are not exported, leading to incomplete postings.

2. Single account used for wallet and credit

Using one account for both Moss Wallet and Moss Credit leads to reconciliation issues. Always use separate accounts.

3. Unreconciled external payments

If the external bank transfer is not matched to the Moss Top-Up Clearing entry, it appears as a duplicate cash-out.


Tips for daily checks

  • Compare Moss opening and closing balances with the Moss Wallet account in Business Central

  • Filter by Moss clearing accounts to quickly identify unreconciled entries

  • Use Business Central’s reconciliation tools regularly
