Booking Logic | Reconcile Moss Transactions in AFAS

This article explains how Moss transactions are booked in AFAS, including how to correctly reconcile your Moss wallet, supplier accounts, and credit repayments to ensure balanced ledgers and smooth month-end closing.


Booking Logic for Moss Card Transactions

For every Moss card transaction, two journal entries are automatically created and exported from Moss to AFAS:

1. Purchase Journal Entry (Expense Recognition)

Purpose: Records the cost incurred by the transaction.

  • Debit: Expense Account (e.g., Software, Marketing, Travel)

  • Credit: Moss Default Supplier Account (or, if selected, the merchant’s supplier)

This entry represents the purchase itself, It records the expense in your P&L and the liability toward the supplier (Moss Default Supplier, or merchant’s supplier).

2. Bank Journal Entry (Payment Recognition)

Purpose: Reflects that the purchase was paid using your Moss Wallet.

  • Debit: Moss Default Supplier Account (or merchant’s supplier)

  • Credit: Moss Balance Account (AFAS ledger for Moss Wallet)

These two entries clear each other in the Moss Default Supplier Account (or merchant’s supplier account), leaving only the expense on your P&L and the payment reflected as a movement within your Moss wallet.


Booking Logic for Moss Wallet Top-Ups and Credit Repayments

Whenever you top up your Moss Wallet or repay your Moss Credit Line, Moss exports additional journal entries to record the inflow of funds.

1. Moss Export Entry (Receipt Confirmation)

Purpose: Indicates that Moss has received funds from your company.

  • Debit: Moss Balance Account (increases wallet balance)

  • Credit: Cash in Transit Account (Kruisposten)

This entry shows the receipt of funds within AFAS. It reflects the top-up or repayment as recorded in Moss.

2. Customer Bank Entry (External Payment)

Purpose: Reflects the outgoing payment made from your external bank account to Moss.

  • Credit: External Bank Account (your real bank ledger)

  • Debit: Cash in Transit Account (Kriuspoosten)

This entry is created either automatically via your AFAS bank feed or manually entered. You must reconcile it against the Moss Export Entry (step 3) to clear the Cash in Transit Account.


Result After Successful Reconciliation

Once all transactions are correctly matched:

  • The Moss Default Supplier Account (used for spend transactions) should clear to zero after all Moss card expenses are exported.

  • The Cash in Transit Account clears to zero once your external top-up or repayment has been matched.

  • The Moss Balance Account represents your current wallet funds and shows all internal movements (spending, top-ups, and credit repayments).
