5. Synchronise accounts - DATEV 2-Way-Sync

Synchronisation between DATEV and Moss takes place automatically once a day once everything is connected. You can also trigger the synchronisation manually at any time.

Suppliers

Supplier accounts are used to allocate specific suppliers to expense items. They allow advanced reporting on expenses and are part of double-entry accounting. Link them to Moss and save time through automation.

  • Invoices: Invoices can be assigned to suppliers, which are then reconciled with payment entries in DATEV after export.

  • Bank details: Bank details in supplier accounts allow invoices and refunds to be paid using SEPA files downloaded from Moss.

  • Accounting automation: Accounting settings in supplier accounts allow accounting automation for recurring expenses for invoices.

  • Transactions: If Accounts Payable is enabled, card transactions can also be assigned to vendor accounts. This field is mandatory. Accounts payable is automatically cleared with each transaction export to DATEV, as Moss also exports the payment record for each transaction. However, Accounts Payable allows advanced reporting for financial managers.

Synchronise suppliers (Datev 2-way synchronisation)

  1. Synchronise supplier accounts from DATEV.

  2. Click Suppliers to open the list of supplier accounts in Moss.

  3. To synchronise supplier accounts from DATEV, click Synchronise now.

Create new suppliers in Moss

  1. Click on Invoices in the main menu on the left. (You can also create new supplier accounts under Reimbursements).

  2. Click on the required invoice and a menu will open on the right.

  3. Scroll down to Billing Details and click in the box to the right of Supplier.

  4. Click Add supplier to enter the supplier name manually. Enter the supplier name (not the number) in both the Supplier Name and Supplier Account fields. Fill in any other required information such as IBAN or BIC.

  5. Once you have entered all the information, click on the 'Add/import supplier' button. The new supplier is now registered and ready for export to DATEV.

    New suppliers are created in DATEV with the following information from Moss:

    • IBAN & BIC

    • VAT number

    • Default payment method (Moss marks suppliers as either paid by direct debit or by bank transfer)

    • Full address (including country)


Chart of accounts

The chart of accounts is synchronised with all DATEV posting accounts when the API is connected. Accounts cannot be created manually in Moss. New accounts must be created in DATEV and are updated in Moss when the data is synchronised.

Moss automatically imports all posted accounts from the last 12 months as 'active' and all others with status 'inactive'. This status can be changed in Moss.

Synchronise charts of accounts - (Datev 2-way synchronisation)

  1. Log in to Moss and click on Accounting.

  2. Click on the Chart of accounts tab to open the chart of accounts list.

  3. To synchronise booking accounts from DATEV, click on Synchronise now.

Edit individual accounts

  1. Click on Accounting > Chart of accounts in the menu on the left to open the chart of accounts list.

  2. To make an account active or inactive, click on the three dots to the right of the account.

  3. Click on Status and select the desired status. Inactive accounts cannot be selected for transaction and invoice pre-booking.

  4. To edit the top category of an account, click on the account. This will open the Account Settings page.

  5. Here you can select the top category for the account. Please note that the account number and name cannot be edited as this information is synchronised by DATEV

  6. Click Save Account to save the category setting.

Edit multiple accounts at once:

  1. Select all or a range of accounts using the checkboxes on the left.

  2. To edit accounts in bulk, click Edit on the right side of the bottom bar.

  3. You can also use the filter to filter specific ranges of accounts and change the status in bulk.


Cost centre

Cost centres are used in DATEV for cost accounting. Moss imports all accounts from KOST1 into the list of cost centres in DATEV.

  • Mapping of Moss dimensions to DATEV cost dimensions (KOST1 and KOST2).

  • Assign cost centres to teams to automate accounting.

Synchronise cost centres (Datev 2-way synchronisation)

  1. If you have set up cost centres, click on Sync now in the Accounting > Accounting integration tab.

  2. The list of tracking categories will be loaded from DATEV. Select the category you wish to use as a cost centre.

  3. In the next step, you can retrieve values from the selected tracking categories. Go to the Cost Centres tab and click Sync now for each category to retrieve the values from DATEV.


Cost carrier

The cost carrier is used to categorise the company's expenses in detail so that they can be better analysed through advanced reporting.

The most common use case for cost carriers is project-related expenses to track project costs, but they can be used for any purpose.

Synchronise cost carriers (Datev 2-way synchronisation)

  1. Go to the Cost carriers tab and click Sync now for each category to retrieve the values from DATEV.

  2. In the next step you can retrieve values from the selected cost carriers. Click on a cost carrier to edit it.
