What is the Moss Receipt Inbox?

The Moss Receipt Inbox is a centralised location for all receipts not directly uploaded to a specific card transaction. It simplifies receipt management by automating the matching process, eliminating the need to manually search and attach receipts to transactions.

Key Functions of the Moss Receipt Inbox:

  1. Automated Transaction Matching: Receipts submitted to the Inbox are processed by algorithms to match them with transactions lacking receipts. Those receipts will appear as “Auto-matched” in the inbox.

  2. Handling Duplicate Receipts: If the algorithm identifies a receipt as a duplicate, it is automatically removed from the Inbox. Users are notified of this action via email.

  3. Manual Matching Option: In instances where the algorithm fails to find a match, users have the option to manually attach the receipt to the correct transaction from the Inbox.

  4. Timeframe for Matching: Receipts that remain unmatched for 30 days will be automatically deleted from the Inbox. This policy helps maintain an organised and current Inbox.

  5. Correction Mechanism for Incorrect Matches: In cases where the algorithm incorrectly matches a receipt, users can easily unlink the receipt and then promptly select and attach it to the correct transaction.


Submit a receipt to the inbox:

There are multiple ways to submit a receipt to the Inbox, fitting different use cases.

  1. Bulk upload via drag-and-drop

    Upload up to twenty files in bulk, Moss will try to match them to transactions immediately.

  2. Forward via the inbox email address

    Simply send and email to the receipt email address that can be found in the inbox. Follow this guide to minimise your work for recurring transactions

Handle unmatched receipts in the inbox

You can manually attach a receipt to a transaction if our matching algorithm was not able to match the transaction.

  1. Potential matches
    Select one of the three potential matches our algorithm classifies by looking at scanned data

  2. Search all transactions
    If none of the potential matches is correct, click on “Select other transaction” and find a filterable list of transactions. Now you should be able to find any transactions, for example also ones that already have a receipt attached.

Handle incorrect matches from the receipts algorithm

You have two options to remove an incorrectly matched receipt:

  1. Unlink and select new transaction from Inbox
    Find the linked receipt in the inbox and click “Unlink & attach to a new transaction”. The receipt will immediately be unlinked from the transaction and you can directly select the correct transaction.

  2. Delete receipt from the inbox (and transaction)
    If you open a matched receipt in the inbox and click delete, the receipt will be unlinked from the transaction and fully removed from your inbox. If you only want to unlink the receipt follow option 1.

Note: You can also remove a receipt from a transaction by clicking "Delete" in the transaction drawer.


Additional Information about the inbox

Accepted File Types and Size Limits:

  • Moss accepts files in PDF, JPG, JPEG, and PNG formats.

  • Individual file size must not exceed 20MB.

  • For drag-and-drop uploads, a maximum of 20 files is allowed per batch.

Handling Emails Sent to receipts+{your company’s name}@getmoss.com:

  • Find the exact email address of your company’s account in the Inbox. Please note the addresses for the card receipt inbox and the invoice inbox are different.

  • Emails sent to this address are automatically moved to the mail account’s trash and permanently deleted after 30 days.

  • Attachments that meet the specified criteria are saved by Moss, even if the associated email is already trashed.

File Deletion Policies:

  • Users have the option to delete files from the inbox, which leads to permanent removal.

  • Moss automatically deletes files that are not linked to any transaction within 60 days of submission. Files can be matched to transactions either manually or automatically.

  • When a receipt is linked to a transaction via the Inbox, removing the receipt from the transaction does not delete the file itself. Instead, it only severs the link between the receipt and the transaction. The unlinked receipt remains accessible in the Inbox. It can be reattached to a different transaction as needed.
