This article provides a brief explanation of the field settings that you can have for each feature.

What are field settings

Field settings (or mandatory fields) aims to tailor the setup of Moss to each client preferences, such as, making it mandatory for users to input information (saving time for accountants), or make fields hidden, streamlining the end user experience. Both options would save time for clients, either on accounting side or on the end-user perspective. 

Field settings can be set up for many different fields such as e.g. cost center, cost carrier, supplier and more. Depending on the workflow step that you want to create field settings for, the field settings can be either for the submitter, requester, accountant & admin or approver.

These are the field settings that are available for the accounting fields throughout Moss.

  • Hidden: Normal Moss users won't be able to see this field.

  • Can edit: Normal users will be able to see this field

  • Mandatory: These fields have to be filled in by the user when requesting any item.

  • View only: Users can see the accounting field but are not able to edit it.

Notes: The feature only supports absolute settings. That means, that fields can be defined as being always mandatory, always hidden, or always view only.

For which Moss features are field settings available?

Mandatory fields are available for all our main features:

Field settings are available during multiple steps during the spend workflow, varying from feature to feature.

How to set up field settings

The field settings can be set up by either admins or accounts.

  1. Go to "Settings"

  2. Click on the feature in the main overview that you want to edit field settings for (Accounts Payable, Cards & Card transactions or Reimbursements)

  3. In the workflow settings you have the possibility to then adjust the field settings. The field settings are available for different steps depending on the feature that you are editing.

Field settings for cards & card transactions

In the card & card transaction workflow you can set up field settings for:

  • Request card: Configure which fields can be edited/seen/mandatory by users when a card is requested.

  • Collect step: Configure which fields can be edited/seen/mandatory by card holders once a transaction has been made.

Field settings for accounts payable (invoices)

In the accounts payable workflow you can set up field settings for:

  • Purchase requests: Configure which fields should be hidden, editable or mandatory when employees (any role) request a purchase.

  • Review: Configure which fields should be view only or editable for accountants & admins or submitters during the review step.

  • Verify: Configure which fields should be view only or editable for accountants & admins or verifiers during the verify step.

  • Approve: Configure which fields should be view only or editable for accountants & admins or approvers during the approval step.

  • Export step: Configure which fields should be view only or editable for accountants & admins during the export step.

Field settings for reimbursements

In the reimbursement workflow you can set up field settings for:

  • Submit a reimbursement: Configure which fields can be hidden/edited/seen/mandatory by users for their own reimbursements.


FAQs:

Can normal users/spenders view and enter accounting details by themselves?

Yes, as long as the fields settings for the accounting details are set to "can edit" or "mandatory" the spender can edit the accounting details.

What happens when mandatory fields have not been filled?

Fields that have been set as mandatory will be highlighted, if you did not fill them in upon pushing the spend into the next workflow step. You will not be able to proceed until you fill them in.
