Setup | 2. Connecting Moss and DATEV Unternehmen Online (DUO)

This is the second article in our DATEV Unternehmen Online Guide, where we explain how to successfully connect Moss with DUO.

Before you start connecting Moss with DATEV, make sure that you meet all requirements and have the necessary data ready. Those topics are explained in the first article of the DATEV Unternehmen Online guide.

Important:
To establish the connection from Moss to DATEV, you need Moss access with either an accountant role (internal or external) or an admin role.

Connect Moss and DUO

1. Open Moss and navigate to "Settings" > "Accounting".

2. Click "Set up accounting".

3. You'll then be asked whether you are responsible for accounting and if you have access to all accounting features in your company.

If you have the permissions, you can continue.

If you don't have the permissions, please assign this task to the appropriate person and invite them to Moss if this has not already been done.

4. Select "DATEV" as your accounting software.

5. In the next step, you'll see a list with all requirements you need to meet before you can connect to DATEV DUO.

You can find out how to meet all the requirements in the first article of this guide.

If you are sure that you meet all the requirements, click "Continue".

6. You'll be redirected to DATEV. Choose your preferred log-in method and log in to DATEV.

7. DATEV will ask you to grant Moss permissions. Please agree to these.

8. After you've agreed to the permissions, you'll automatically be redirected to Moss.

9. Choose the correct Moss client to which you want to export the data in the future.

10. After you've connected the client in Moss, you'll be redirected to DATEV.

Check the consultant and client numbers and ensure that the correct client is linked to the Moss account. Agree to the permissions in DATEV again.

11. You'll then be redirected to Moss, and you'll see that you are successfully connected with DATEV.

12. Now enter the relevant accounts.

We suggest the following accounts:

  • As a Moss account (a bank or credit card account should be used for the wallet balance)

    • Examples of credit card accounts are 1730 (SKR 03) / 3610 (SKR 04)

  • Money transfer account: Set up a money transfer account for posting the money movement "Überweisung an Moss Guthaben"

    • For example 1360 (SKR 03) or 1460 (SKR 04)

13. Set up a standard supplier for credit card payments and other postings.

In this article, you'll learn more about using the supplier account in connection with the DATEV Unternehmen Online interface.

You can also use the slider to set whether credit card transactions should all be posted to this standard supplier or to the respective suppliers of the vendors.

14. The configuration details will now be displayed once more as a summary.

You now have the option to adjust or specify the following settings:

You can also adjust these settings again at any time later.

  • Under "Export row description", select how the booking text is to be transferred.

  • Enter your "aRAP account" for recording accrual bookings in Moss

  • Specify the account to which your "FX fees" are to be posted (e.g. "additional costs of money transfer")

  • Reimbursements IBAN source: Specify which bank details should be transferred from Unternehmen Online for refunds (if payment is made from DUO)

  • Under "VAT registered", specify whether your company is entitled to input tax deduction.

15. You can now import charts of accounts.

You should have already exported them from DATEV.

Now import your chart of accounts:

  1. Click "Add account"

  2. Download our CSV template, fill it in, and then import it or directly upload an existing DATEV account CSV.

  3. Then assign the columns for account name and account number.

16. Import your suppliers.

You should have already exported them from DATEV.

If you haven't exported them from DATEV, find out how to do so here.

Now import your suppliers:

  1. Use our template or upload an existing CSV file

  2. Assign the relevant columns

  3. Set up the accounts by clicking on "Next" and then "Import".

  4. Then click "Continue".

17. Load your VAT codes for DATEV.

You can also enter the VAT codes manually.

  1. Open Moss and navigate to "Accounting" > "VAT codes" > "Add VAT rates".

  2. Now you can choose between two sets of DATEV tax codes. If you don't want to use these tax codes, you can also enter the VAT rates manually.

The "new" three-digit tax codes can be used in any DATEV environment. In 13b cases, they allow for clear coding and eliminate the manual step of having to select the exact case in DATEV manually (as with code 94). A list of DATEV tax codes can be found here.

If you got to "Accounting" > "VAT rates" and click on a VAT rate, you always have the option to edit it later.

18. Import your cost centers / dimensions if needed.

You should have already exported them from DATEV.

  1. Upload our template or an existing CSV.

  2. Assign the necessary columns.

  3. Create them using the "Import dimension element" button.

  4. Then click "Continue".

19. Import your cost carriers / dimensions if needed.

You should have already exported them from DATEV.

  1. Upload an existing CSV.

  2. Assign the necessary columns.

  3. Create the cost carriers.

  4. Then click "Finish setup".


Done! The setup is now complete.

From now on, your bookings will be exported directly from Moss to DATEV Unternehmen Online together with the document images.
