FAQ | Reconcile your Moss statement balance

Step-by-Step guide to reconcile the Moss Statement Balance

Use the Reconciliation view to confirm that your Moss debit or credit wallet balances match your accounting ledger and to identify transactions that need action before export.


Who can do this

Admins and users with permission to export accounting data.

What you can do

  • Review the “Statement balance”, “Ledger balance” and “Uncleared transactions”.

  • Identify items marked “Ready for export” or “Not ready for export”.

  • Export individual transactions from the side drawer to your accounting system.


How it works

1. Open the Reconciliation view

  1. Go to “Reconciliation” in the menu.

  2. If your workspace has both Debit and Credit wallets, use the toggle at the top of the page to select “Debit wallet” or “Credit wallet”.

  3. Use the date selector in the top right to choose the period you want to reconcile.

Note: If your workspace only has one wallet, you will be taken directly to that wallet’s reconciliation view.


2. Understand the reconciliation summary

At the top of the page you will see three categories:

  • Exported. Transactions already sent to your accounting system.

  • Ready for export. All required documents are attached and the transaction can be exported.

  • Not ready for export. Information is missing or the payment has not yet settled.

The “Amount left to reconcile” shows the difference between your Moss wallet balance and the balance already exported to your ledger.

Note: Items marked “Not ready for export” do not appear in export lists until all requirements are met.


3. Review each balance panel

Statement balance

Shows all settled Moss transactions in the selected period.

You can:

  • View each transaction in detail

  • Download the statement as PDF or CSV

Ledger balance

Summarises all exported transactions that have reached your accounting system.

You can:

  • Review exported transactions

  • Check attached documents

  • Compare the Moss ledger balance to your trial balance

Note: If the ledger balance and Moss balance differ, check for manual postings in your accounting system or missing exports.

Uncleared transactions

Shows authorised card transactions that have not yet settled as of the selected date.

You can:

  • See the transaction date and expected settlement date

  • Check document status

Note: Pending transactions cannot be exported until settlement because the final settled amount may differ from the authorised amount.


4. Open detailed transaction lists

Each summary card has a “View” link that opens a detailed table.

5. Export transactions (per item)

Exports are currently completed one transaction at a time.

  1. Open any transaction from the “Ready for export” list.

  2. The transaction opens in a side drawer.

  3. Select the export action for your connected accounting integration.

  4. Once exported, the status updates to “Exported”, and the item appears in the “Ledger balance” section.

Note: Payments and their linked expenses are exported together. Exporting payments without expenses is not currently supported.


6. Downloads vs exports

  • Downloading a statement (PDF or CSV) does not change any transaction’s export status.

  • Exporting a transaction updates its status to “Exported” and sends it to your accounting system.


7. Why balances may differ

If your Moss balance and ledger balance do not match, check for:

  • Missing receipts or invoices

  • Items still shown as “Ready for export” that have not yet been exported

  • Transactions in “Not ready for export” that require action

  • Manual postings in your accounting system

Use the filters “Ready for export” and “Not ready for export” to identify remaining differences.


What happens next

When both balances match:

  1. Confirm your accounting system’s trial balance equals the “Ledger balance” in Moss.

  2. Download the statement report for your records.

  3. Month-end reconciliation for that period is complete.
